SUMMARY
The Events Coordinator is responsible for assisting the Events Department in event sales, preparation,
and execution. This role is ideal for candidates who thrive in guest facing environments and who can
multi-task easily and under pressure. In coordinating events, the employee will work directly with clients
and vendors ensuring a seamless experience. This role will also work within the hotel systems, assisting
with room blocks and front desk.


KEY RESPONSIBILITIES

  • Communicate with internal staff, establishing requirements and needs for events.

  • Assist in capturing, tracking, and communicating to all event leads. Conduct inquiry phone calls, tours, and client meetings in the pursuit of sales.

  • Manage event logistics and planning; oversee contract compliance, venue preparation, 3rd party food catering, and other 3rd party vendors.

  • Assist in the organization of event room blocks and catering orders.

  • Maintain client communication as well as guest experience and expectations from event conception to execution.

  • Maintain an organized system and database to track client notes, emails, and other forms of communication.

  • Manage on-site preparations, production, and event breakdown, ensuring consistent, high-level service throughout any problems and/or disruptions.

  • Build and sustain vendor relationships, representing CHG and the Events Department in a warm and professional manner.

  • Assist the Events Manager on special projects for the events team, including non-profit, ticketed, and community events.

  • Assist the hotel with front desk coverage.


REQUIRED SKILLS AND QUALIFICATIONS

  • 2-3+ years of experience within the event and hospitality industry.

  • Proven success in managing events in high stakes and high stress environments.

  • Strong interpersonal and communication skills.

  • Ability to handle pressure and problem solve while continuing to provide strong client relationships.

  • Ability to work weekends and maintain a flexible hourly schedule, working 45-50 hours during May - October and 30 - 35 hours November - April.

  • Frequently move items weighing up to 30 pounds and move across the property in a fast paced manner. Must be able to maintain a stationary position for prolonged periods( 5+ hours).

  • Ability to work in outdoor weather conditions.


PREFERRED SKILLS AND QUALIFICATIONS

  • Bachelors degree in Event Management or Hospitality related field

  • Proficiency in Event Management Software (Tripleseat)

  • Paid Time Off: 6 days
